Appointment Cancellations

In the best interest of our psychology team and client network, you must provide 48-hours’ notice if you need to reschedule or cancel an appointment, so that we can do our best to locate another client to fill your spot and for your psychologist to prepare accordingly. You will be liable for the full session fee if we receive your cancellation within the 48-hour period prior to your appointment.

Our clinic will, to the best of our ability, make necessary efforts to confirm your appointment.

Please Note:

  • Our clinic will send a 48-hour confirmation text message to the primary phone number that has been supplied by the client.

  • Clients can respond with "Y" to confirm or "N" to cancel their upcoming appointment.

  • Under the circumstance that the client has not responded to the 48-hour reminder text message - our clinic's administration team may send a final confirmation text message to confirm or cancel the appointment.

  • In the case that the above mentioned attempts to confirm the upcoming appointment with the client have been unsuccessful, our clinic will cancel the upcoming appointment and locate another client to fill the available spot.

  • In the case that a client cancels an upcoming appointment, including in-person, Telehealth and phone appointments, after confirmation has been received - full appointment fees will apply.

  • No future appointments can be attended or booked until the cancellation fee has been paid.

  • In most cases, the cancellation fee will be paid by you. If you are funded by a third party you may be liable for the fee yourself.

  • It is the client's responsibility to notify our administration team of any changes to their primary contact details.

Please understand that our cancellation policy was developed to minimise the negative impact of a late cancellation in three key areas:

  • You – your progress in therapy will be delayed, and your mental health and wellbeing is vitally important.

  • Your therapist – he/she planned for your session and arranged their weekly schedule around you.

  • Another client – they could have received the support they’re waiting on with sufficient notice.
